We are looking for a senior administrator to join our team.  Initially, the role will be split between our main site on Courtney Way (3 days per week) and our recently opened Early Years provision (2 days per week), which is co-located with The Fields Nursery on Galfrid Rd Cambridge.  The role will gradually transition to five days per week at our Early Years provision, but some attendance at the main site will remain a requirement.

The role is a diverse one, incorporating all aspects of school administration and would be ideal for someone with good attention to detail, who thrives on the variety in a busy school office and who would enjoy developing the role as it transitions to our Early Years site.

You will play a key part in safeguarding our students:

  • ensuring an accurate record of student attendance is maintained and following up any reasons for absence;
  • ensuring that only authorised visitors are admitted to the school and that, where appropriate, the required vetting checks have been carried out;
  • liaising with parents, carers and transport regarding drop-off and pick-up arrangements;
  • liaising with the premises owner to ensure any safety and maintenance issues are addressed;
  • liaising with emergency services in case of emergency.

Previous experience of working in a school office or special school would be beneficial, but it is essential that you can demonstrate a commitment to keeping our students safe and an understanding of the particular challenges when keeping students with special educational needs safe

Together with the rest of the office team, you will often be the first point of contact for visitors and those phoning or emailing the school.  A confident, clear communication style will be an asset to you in this role.  You will be handling sensitive and confidential information, so you should be able to demonstrate that you are discrete, trustworthy and able to remain calm in challenging situations.  You will liaise regularly with the wide range of professionals who work with our students:  social workers, doctors, nurses, therapists, caseworkers.  Care is required when sharing data with other services.  Good attention to detail is essential and an understanding of Data Protection Regulations would be beneficial, but training on the latter will be provided.

All our students have an Education Health and Care Plan (EHCP), which must be reviewed at least annually.  A substantial part of the role will be to organise the review meetings and ensure the necessary documents are updated and shared with parents and appropriate professionals before and after each meeting.  You will need to be well organised and methodical as well as a proficient user of ICT including Word, Outlook, Excel and Office 365.

As the role transitions to being based fully at our Early Years site, you will also provide general admin support to the team there: ordering resources, liaising with the The Fields Nursery over premises issues, administering staff absence records and overtime/expenses claims. To balance the different demands of the role you will be both methodical to ensure you hit key deadlines and flexible in the face of changing priorities.
